Program Coordinator

Job Description

The successful candidate will support the Vice President of Professional Services ensuring continuous success for all administrative and program delivery activities, while optimizing operations of the program. In addition, this candidate will also be responsible for providing active support to other ongoing projects and programs in the Professional Services team.

The role requires taking a proactive approach to scanning the environmental market, exploring business/training opportunities, making business and technical presentations and working on technical projects. Ability to work closely with marketing and research teams of the organization will be a key requirement for this position. While each member of ECO Canada has individual responsibilities, ECO takes a team-based approach. Everyone is encouraged to take ownership of his/her ideas and to see them through to completion, collaborating with key influencers as required.

The Program Coordinator will be responsible for:

Policy and Procedure Maintenance

  • Updating existing templates, procedural documents and client-facing reports;
  • Quality assurance of documentation messaging and consistency;
  • Assisting in development, implementation and monitoring of assigned environmental programs, program elements or projects;
  • Managing ECO Canada’s professional development and indigenous training (BEAHR) programs;
  • Performing technical and administrative duties in the implementation of program activities;
  • Supporting the research, writing, editing, formatting and proofreading of technical materials for technical reports, proposals and concept papers;
  • Performing multiple projects within scope/budget/schedule expectations and ensuring quality standards on project deliverables;
  • Providing technical assistance in area(s) of expertise;
  • Drafting technical and supporting documents as needed including capability statements, implementation plans, and management plans;
  • Responding to daily program inquiries, providing excellent customer service.

Cross-Team Collaboration

  • Coordinate and provide active support to other projects and programs run by the Professional Services Team;
  • Working collaboratively with other teams to prepare material for business proposals;
  • Other project participation may be required such as attending networking events, proposal quality assurance, developing webinar presentations, etc.


  • Maintain dashboard of potential and existing BEAHR program activities including new progress, status of current programs in varying stages of completion, student graduate stats and demographics.
  • Analysis of site review reports for consideration of future program improvements and content development

Required Skills

The incumbent should have demonstrable experience in the following areas:

  • Strong interpersonal skills and desire to connect with people working in all areas of the environmental sector and Indigenous communities
  • A positive, collaborative attitude with a readiness to support multiple stakeholders
  • The ability to maintain control while coordinating activities and balancing multiple priorities
  • Exceptional organizational skills and high attention to detail
  • Skilled in communication for both telephone and email format
  • Desire to work in a results-focused environment
  • Motivated self-starter with a strong desire to learn and a willingness to adapt to a variety of situations.
  • Able to measure success metrics and identify trends
  • Previous knowledge or desire to learn about Canada’s environmental workforce
  • Proven flexibility to handle changing priorities and managing multiple projects and deadlines efficiently and without compromising quality;



  • 2-4 years’ experience in a related field
  • Experience working in or with Indigenous communities
  • Administrative or Project Management Diploma is preferred
  • Proficient computer skills and experience with MS Office, particularly with Excel, Word, Outlook and PowerPoint
  • Comfortable with working in Contact Management databases

 Desired Skills:

  • Prior experience in working with government and Indigenous stakeholders;
  • Indigenous background or knowledge on Indigenous culture and language will be an asset;
  • Technical writing and business development;
  • Fluency in a second language will be an asset.

 This role is a full-time position, with a three-month probationary period upon start date.
