Program Coordinator

Under the management of both the Program Manager and Executive Director (Calgary), the Program Coordinator position executes the day-to-day program duties in the Calgary region while assisting with donor and agency relationships. The Program Coordinator will work in tandem with the Communications and Community Engagement staff member to deliver all Kids Up Front opportunities to our partners agencies. 

Full-time hours will consist of a scheduled Monday – Friday work week; 8 hour work day.

Weekend and after hours overtime is flexible, but frequent. Some on call work required (availability by phone).
Our Program Coordinator will be a person, who is passionate, organized, enthusiastic, and team oriented. Must enjoy working with children and their families, can work independently, with the ability to advocate, exercise good judgement and problem-solve quickly.
Essential Skills and Strengths:

  • Superior organizational and documentation skills.
  • Adept in coordinating multiple projects and meeting deadlines; essential time management.
  • Ability to take initiative to grow the organization according to regional vision and strategic plan.
  • Strong computer skills (Microsoft Word, Excel, Outlook and Dynamics).
  • Strong writing and editing skills.
  • Awareness of operational environment (entertainment opportunities, community partners, etc.)
  • Strong relations with corporate and individual program supporters; donor stewardship.
  • Ability to work collaboratively within a small team.
  • Ability to take initiative to present new and creative programming and fundraising ideas.
  • Ability to work independently, reliably, and assist with other roles as necessary and required due to times of high volume, demand, special events and the nature of the small team.
  • Attention to detail is an asset.


  • Valid Driver’s License and reliable vehicle. 
  • Experience with data entry.
  • Police check and child intervention check. 

Job Description Details:
As a critical component of our day-to-day programming, the program coordinator will have the privilege of being the builder of program delivery, community, and capacity. They provide the opportunities to partnering families and agencies. Key responsibilities include: being the primary ticket distributor, primary contact and support for partnering agencies, provide ongoing support and training to partnering ticket contacts, and being an invaluable member of our small, high-functioning team.
The right candidate will be fastidious with details, maintaining accurate ticket and donor records, data entry and preparing and analyzing statistical reports.
The Program Coordinator will be expected to clearly organize priorities and deadlines on a daily basis, while maintaining the organization of over 30,000 yearly ticket opportunities. There must be a clear commitment to our organizations mandate and charitable objectives, and an ability to adapt to an ever-changing work environment, with frequent interruptions and the ability to provide tram support in other roles as necessary.
