Responsibilities:

  • Provide administrative support to the Chief Operating Officer, Executive team and as required to the President and CEO and Board of Directors and Committees.
  • Act as a representative of the Executive Office and United Way of Calgary & Area.
  • Oversee calendars, schedules, emails, and phone calls.
  • Gather and prepare information required for meetings, monthly Board of Directors, Committee meetings.
  • Follow up work with UW stakeholders, volunteers, community members, Board and or Committee members as required.
  • Prepare agendas, take and edit minutes, prepare reports, presentations and correspondence.
  • Material preparation, online filing, mail processing.
  • Contact Management: update contact lists, distribution lists, board and committee lists.
  • Work with the UWCA Committee Chairs and members as required.
  • Communicate using good judgment and a professional approach.
  • Ensure discretion, confidentiality and privacy is upheld.
  • Engage and participate on the internal Administrator team.
    • Provide coverage for Reception as needed, fulfilling all duties of the receptionist.

 

Qualifications & Skills:

  • Post Secondary certificate in Business Administration and a minimum of 2-5 years of related experience or equivalent education and experience.
  • Experience supporting senior level executives and board preferred; understanding of governance processes.  
  • Intermediate to advanced proficiency using Microsoft Office suite (Word, Excel, Outlook, SharePoint, PowerPoint).
  • Well-organized with a strong attention to detail.
  • Flexible, self-starter who works well with limited supervision and strong ownership of the work.
  • Ability to prioritize and get things done.
  • Outstanding communication skills both verbal and written.
  • Aptitude to learn and leverage technology, new applications and tools specifically in the Microsoft Office Suite, Sharepoint and ANDAR.
  • Exceptional interpersonal skills, with sound judgment and a diplomatic approach.
  • Initiative and demonstrated willingness to take responsibility.
  • Ability to thrive in a fast-paced, dynamic, collaborative environment.
  • Excellent customer service skills.
  • A continuous improvement mindset, enthused and thrives in a changing work environment.
