Executive Assistant (Maternity Leave Contract)

Summary

The Executive Assistant provides administrative support to the President and the Leadership Team.

Duration

This position

  • is full-time (37.5 hours/week) and hours of work are 8:30 am to 4:30 pm, Monday to Friday
  • provides maternity leave coverage, beginning May 13, 2019

Major Responsibilities

Support the President

  • Coordinate travel booking (e.g. flights, hotels, visas, car rentals)
  • Complete and submit credit card expense forms and reimbursement requests
  • Coordinate meetings
  • Monitor and screen phone calls to president
  • Monitor and sort email addressed to president
  • Ensure Annual General Meeting plans are executed
  • Receive and respond to funding letters or requests from churches
  • Assist development of board monitoring reports

Support the Leadership Team

  • Coordinate meeting logistics (including offsite meetings and retreats)
  • Coordinate travel booking (e.g. flights, hotels, visas, car rentals)
  • Complete and submit credit card expense forms and reimbursement requests
  • Take notes during meetings
  • Ensure that meeting agendas are crafted and sent to participants
  • Draft/monitor team budget and approve expenses
  • Track Leadership Team decisions regarding budget adjustments
  • Maintain and renew organizational affiliations and subscriptions
  • Monitor and distribute feedback email
  • Assist with Memorandum of Understanding/ Inter-organizational Agreements tracking
  • Assist with electronic filing
  • Monitor Staff News email inbox and create weekly Staff News communications
  • Assist in logistics for Leadership Circle meetings
  • Assist in communicating with Leadership Circle (e.g. agendas, summaries of meetings)
  • Coordinate monthly all-staff meetings (e.g. set up livestream links, communicate with speakers, liaise with IT team)

Other

  • Provide reception relief
  • Plan Calgary Office Christmas party
  • Other duties as assigned
  • Committee, project team work depending on interests, skills, and passions of successful candidate

Minimum Qualifications

  • College diploma/certification
  • 2-5 years of related experience
  • Proven proficiency within a senior administrative function
  • Experience working with highly confidential information
  • Unimpeachable integrity and professionalism
  • Extremely proactive, responsive, and service-oriented
  • Capable of sustained high performance in a demanding, dynamic and fast-paced environment
  • Demonstrated good judgment and decision making
  • Resourceful and independent thinker with excellent prioritization skills
  • Demonstrated expertise in communication and organizational skills
  • Strong interpersonal and oral/written communication skills
  • Proficient in Word, Excel, PowerPoint, and Google Apps with an aptitude to learn other standard software, applications and technical office equipment at an intermediate level
