Event Coordinator

United Way of Calgary and Area is the largest non-government source of funding for human care and community support programs in the Calgary region. United Way works with its community partners to build sustainable solutions for the future, while providing services today to improve lives of people when they need it most.

 

United Way of Calgary and Area is looking for a full-time, contract Event Coordinator to join the Marketing, Media, and Communications department. The  Event Coordinator will focus on the coordination and execution of organizational events, sponsorship and activations. This role will work closely with their Supervisor to plan and implement events. Responsibilities  
  • Event Management:
    • Support, coach and take lead on Event Management for key events by hosting meetings, and providing advice and event support to internal stakeholders and marketing/communication team members to ensure events align and are consistent with organizational goals, brand, tone and appearance.
    • Research and negotiate venue contracts, book event space
    • Plan and order event food and beverages, order supplies and audiovisual equipment
    • Support speaker or special guest logistics
    • Order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations
    • Gather comprehensive information, conduct research on each project to achieve quality event productions
    • Serve as liaison with vendors on event-related matters
    • Manage on-site production and clean up for events post event
    • Delivers to event site and sets up event props, supplies and signage
    • Event evaluation and report back ensuring events meet goal
    • Implement continuous improvement and innovative ideas for the event program

     

  • Administrative Support:
    • Uses event templates created for each event to ensure good knowledge transference
    • Prepares comprehensive files including event templates, production plans, and room layouts at least 3 weeks before the event
    • Supports script writing for key organizational events
    • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc. as needed
    • Prepare budgets and provide regular monthly progress reports to stakeholders for each event project
    • Maintains thorough event finances including cheque requests, invoicing, and reporting
    • Manages and maintains online events calendar
    • Supports event and program sponsors to ensure accurate billing, coordination and engagement
    • Assists/leads special projects as required

     

    Experience and Skills  
    • Post-secondary education, diploma or certificate in event management preferred
    • Two plus years' experience in event coordination, sponsorship, or applicable administration environment
    • Experience using event and project management tools such as Eventbrite an asset
    • Adaptability, persuasion, presentation, verbal & nonverbal communication, writing reports and proposals, negotiation, critical observation
    • Excellent interpersonal skills; can build and maintain relationships
    • Ability to influence and assert your point of view, coach others, ensure event standards and deliverables while maintaining the relationship and getting the work done
    • Remains calm, positive and professional throughout the event process particularly during event challenges
    • Strong planning skills while being creative 
    • Rallies interest and excitement for events internally and externally
    • Professional and engaging with large groups, volunteers, community members, corporate Calgary etc.
    • Ability to think critically; manage both the larger picture and the details
    • Demonstrates resourcefulness and ability to problem solve
    • Proficient in Microsoft Office suite, specifically PowerPoint, Word and Excel
