Position Summary:

Pathways Community Services Association is an Indigenous agency that draws jointly from the strengths and guidance of Indigenous teachings and traditions. We adopt evidence-based practices in human services to support vulnerable children, youth and families.  We are seeking an Event Coordinator to assist us with planning and executing our 2019 Conference held June 12 - 15.

Pathways is seeking an Event Coordinator with a minimum five years’ experience managing large conferences. The successful candidate will handle this event from start to finish with the support of a dedicated team. As the primary point of contact, the selected candidate will coordinate with committee members, the Board of Directors and the communications team to help make this conference a success.

This is a three-month contract ending June 30, 2019.

Responsibilities:

  • Provide high level strategic event planning, execution and leading a 4-day conference
  • Manage event calendar, project timelines and event budget
  • Expertly drive pre-event planning, weekly meetings and event updates to committee and board members
  • Work closely with stakeholders, industry partners and team-leads
  • Develop and maintain comprehensive event summaries and reporting
  • Trouble shoot and institute appropriate risk management plan to mitigate complex situations
  • Establish event protocol, train and orient staff and volunteers in execution
  • Create and manage events project timelines, tracking and regularly reporting on key performance indicators, deadlines and deliverables to planning committee to ensure timely execution of event preparations
  • Work with communications team to develop and provide content for social media platforms
  • Plan and lead in the execution of online registration, logistics, contracts and on-site event management
  • Ensure compliance with insurance, legal, health and safety obligations
  • Facilitate event set-up as well as tear down
  • Oversee budget and collateral
  • Provide comprehensive reporting for pre and post event evaluation and analysis 
  • Coordinate transportation logistics
  • Coordinate with Site Manager on event set-up and tear down
  • Coordinate with committee on budget and collateral

Requirements

  • Post-secondary education in event planning, communication and/or marketing
  • 5-7 years’ experience in major event planning
  • Ability to learn and understand policies and procedures and the complex needs of a non-profit organization
  • Exceptional verbal, written and presentation skills
  • Ability to work effectively both independently and as part of a team
  • Competency in Microsoft applications including Word, Excel and Outlook
  • Ability to work within tight timelines
  • Flexible and adaptable to a changing environment
  • Ability to work some evenings and weekend
  • Familiarity of Indigenous culture
  • Some physical labour involved – conference will be hosted outdoors
