Position Summary:

This is a Full Time, Permanent role

The Database Administrator maintains close working relationships with other members of the External Relations team and the Finance team. This position ensures accurate and timely capture of relevant information on donations, current donors and prospects that will help guide decision-making and generate gifts for development goals. This position provides fundraising staff with high-quality donor research and reporting for board of directors, donor meetings, events, and strategic planning. He/she focuses particular attention on the identification, research, and tracking of individual, corporate, and foundation internal donor prospects and is responsible for implementing the moves management necessary to guide prospects and donors along the giving continuum.

Primary Duties and Responsibilities:


  • Oversees the work and supports the ‘Donations Associate’ position to ensure accuracy and consistency in gift entry and tax receipting processes in accordance to the Canadian Revenue Agency guidelines
  • Provides appropriate Raisers’ Edge training to members of the External Relations team as needed
  • Create, update and maintain a policy and procedures for database administration

Donor Prospecting & Research

  • Discusses strategies for obtaining new prospect donors with the Director of ER to ensure the on-going development, expansion, and renewal of prospects
  • Analyzes the donor database to identify and take action on research gaps and potential areas for growth
  • Conduct high-quality, detailed biographical, corporate, foundation, and financial research and analysis to identifying existing donors and move them to new giving levels
  • Qualify prospects by determining affiliation, interest, and giving potential
  • Design and maintain moves management and prospect tracking systems to record, monitor, and measure related fundraising activities
  • Assist fundraisers in adhering to the prospect management system

Analysis & Reporting  

  • Builds specific reports for the Board of Directors.
  • Oversee Resource Development metrics and campaign analysis to ensure we are meeting fundraising targets
  • Produce weekly, monthly, quarterly, and any other necessary reports for distribution; assist with data retrieval for staff as needed
  • Create queries and produce exports in Raiser’s Edge to pull data for a variety of purposes including move management, performance indicator reports, mailings, donor recognition, and donor cultivation, solicitation, and stewardship needs
  • Engage in on-going data mining in Raiser’s Edge to monitor donor trends and identify new opportunities

Database Management

  • Provide on-going support and training to IFTC staff with respect to the effective use of the fundraising database
  • Point of contact for the Development and Finance teams to ensure Raiser’s Edge data integrity as it relates to donor administration, gift entry, and constituent record management
  • Monitor Raiser’s Edge data through the use of queries, exports, and reports and flag errors to ensure data coding accuracy in the database is maintained and that established guidelines are followed
  • Perform monthly database maintenance procedures to ensure data integrity
  • Ensure the timely entry of donor cultivation, solicitation, stewardship, recognition and event information in Raiser’s Edge either manually or through global uploads or imports
  • Work in conjunction with Management to implement new project, campaign, fund and appeal structures to inform analysis, decision-making, and strategy development
  • Stay up-to-date on updates to Raiser’s Edge and training opportunities; maintain personal knowledge of database

  • Experience with Raiser’s Edge best practices for ensuring the accuracy and integrity of constituent data; RE Pro certified would be considered an asset
  • Completion of a University degree, preferably in Business Administration, or a related field is required for this position
  • Minimum of 3 years’ experience in a fundraising environment, preferably in prospect management
  • Demonstrated background in data management, research, and analysis
  • Experienced developing reports, metrics, and analytics for improving operations
  • Previous experience supporting active fundraising campaigns
  • Excellent computer skills including database/information management with particular experience using Raiser's Edge and MS Office applications
  • Strong organizational and time-management skills, and attention to detail and accuracy
  • Ability to work independently and exercise good judgment with minimal supervision
  • Demonstrated ability to prioritize work, and independently manage multiple, diverse, and competing priorities while meeting deadlines
  • Strong project management and problem-solving skills and demonstrated ability to work in a demanding environment
  • Ability to contribute expertise and solve problems in a collaborative manner to achieve greater results
  • Demonstrated professionalism, tact and maturity in handling highly sensitive and confidential information ethically and with discretion
