The Position

We are hiring an energetic and highly-motivated individual who communicates clearly and effectively to join our program team. The individual in this administrative support role will work closely with at least two Program Officers in the management of a busy portfolio. Additional project support, including research, may be required.

 Responsibilities

●       communicating effectively with grantees

●       reviewing initial inquiries and applications, payments and reports

●       synthesizing and summarizing detailed information into reports and other presentations

●       composing letters and other correspondence to and from applicants and grantees

●       responding to questions from applicants and grantees about internal process

●       managing grantee compliance with respect to payment and reporting obligations

●       maintaining physical and systems files

●       following detailed process guides and checklists to ensure data integrity and adherence to internal programmatic due diligence requirements

●       understanding and ability to communicate investment framework to applicants/grantees 

●       filing, data entry, photocopying and managing schedules

●       providing back up within the work unit and across the organization where necessary, including reception duties

●       participating in cross-disciplinary teams, as needed and/or interested

Qualifications and Professional Experience

●       undergraduate degree 

●       three to five years administrative or applicable work experience 

●       proficiency with databases, Microsoft Office (Word, Excel) and Google (email, calendar, drive, docs, hangouts) 

●       previous experience working in the nonprofit sector or legal field considered an asset

●       excellent writing, editing and analytical abilities 

●       thorough knowledge of English grammar, punctuation and spelling 

●       strong numeracy skills and the ability to understand financial data

●       exceptional attention to details, accuracy and deadlines  

●       strong time management, organizational and interpersonal skills
