Payroll and Benefits Administrator

The Payroll and Benefits Administrator is responsible for supporting the finance department and Financial Manager in all areas of agency payroll and benefits. This position is responsible for timely and accurate processing of payroll and benefits as well as maintaining benefits account, processing vacation and sick time, accounts receivable and payable, charitable receipts and reports.

DUTIES AND RESPONSIBILITIES

  • Prepare accurate and timely payroll processing for all hourly and salary employees
  • Calculate the various deductions and preparation of paycheques and/or direct deposits for all employees including reviewing and processing hourly time sheets
  • Reconcile payroll and benefits account with the general ledger (GL) on monthly basis ensuring payroll is coded accurately
  • Work closely with finance team to ensure accurate payroll allocation between different departments
  • Complete the yearend filing and preparing T4’s, T4A’s and summaries ensuring balanced payroll records
  • Maintain detailed records and documentation of payroll functions for audit purposes in accordance with statutory requirements
  • Participate in all aspects of the external annual audit
  • Contribute to annual financial monitors
  • Prepare the ongoing review and maintenance of payroll and benefits
  • Prepare and issue documents such as record of employment (ROE), income tax TD1 and payslips for the employees in timely manner
  • File time sheets and maintain records of vacation, sick and personal days for each employee
  • Complete the monthly remittance to Canada Revenue Agency, Group RRSP and Group benefit plans
  • Generate invoices for sales and services and process debit and credit card payments
  • Maintain records of donation and issue charitable tax receipts
  • Address or respond to external inquiries from customers and donors
  • Assist the finance department with reconciliation of general ledger accounts, accounts payables and payroll journal entries as required
  • Assist in preparation of ad-hoc reports as required (Boland survey, Casino report, T3010, etc.)
  • Create new employee file in Microsoft Dynamic GP and complete enrolment forms for group insurance plan
  • Identify potential improvements in payroll process and recommend changes where required
  • Attend and participate in agency events
  • Other duties as assigned by the Financial Manager

QUALIFICATIONS

  • Post-secondary education (diploma/degree) in Accounting and/or Business Management
  • Payroll Compliance Practitioner (PCP) designation is considered an asset
  • Three plus years of experience in payroll and benefits administration is required
  • Strong knowledge of Canadian payroll compliance and legislation
  • Understanding of non-profit agencies’ accounting methods
  • Ability to work independently and within a team
  • Computer literate in Microsoft Dynamics GP, Quick books, Excel, Word and Outlook
  • Adaptability to other computer applications required by CIWA
