POSITION TITLE: Part Time Executive Assistant to the CEO

REPORTS TO: Chief Executive Officer

POSITION SUMMARY:

The Executive Assistant provides overall administrative support to the CEO and the Board of Directors as required. This position requires occasional travel within Alberta and also availability to work some evenings and weekends.

POSITION RESPONSIBILITIES:

  • Coordinates the CEO’s schedule, appointments and travel arrangements.
  • Completes and submits expense claims.
  • Takes meeting minutes and transcribes notes for record and circulation
  • Organizes meetings for the CEO and Board of Directors, regular quarterly Board meetings, the annual strategic planning session, and other planning meetings as required.
  • Prepares information packages for Board meetings and administers the Board documents via Drop box and emails.
  • Coordinates all aspects of Board Policies, including changes and amendments.
  • Reads and interprets/analyzes incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Monitors travel needs and arranges hotel accommodations for out-of-town Board Directors.
  • Coordinates all aspects of the annual board nominations and online elections
  • Organizes the Annual General Meeting, alternating between Edmonton & Calgary each year.
  • Assists with gathering information for the preparation of the annual report.
  • Prepare CPHR Alberta ’s annual return, updates and bylaw changes for submission to Corporate Registry as necessary.

  • Minimum of a diploma in business, administration or a related field
  • 10+ years of progressive experience in an administration role with experience reporting to a CEO or senior executive
  • Experience with planning and executing small events
  • Highly proficient with Microsoft Office including Word, Excel, Outlook, and PowerPoint
  • Ability to plan, prioritize and organize work with multiple demands and deadlines
  • Superior communication skills, both verbal and written English
  • Proactive and dedicated work ethic, with the desire to continuously learn and improve
  • Ability to work independently, with demonstrated strong judgment and decision making abilities
  • Demonstrated experience in dealing with confidential information
  • Excellent time management skills and strong attention to detail
  • Ability to handle stressful situations with professionalism, tact, and diplomacy
  • Excellent analytical and organizational skills
