Part-Time Administrative Assistant

Reporting to the Office Manager, the Administrative Assistant sustains the office to host and support families, staff and professionals during morning, afternoon, evening and weekend hours.

In partnership with Children’s Services (CS) Indigenous Services Office, Mahmawi-atoskiwin staff engage with families to address concerns that brought them to involvement with CS. We do this by connecting children and families with Indigenous culture and ceremonies, enhancing family wellbeing and safety, and reuniting children with family or into an alternate living situation. Mahmawi-atoskiwin is an alliance of three agencies: Pathways Community Service Association, Boys and Girls Clubs of Calgary, and Enviros using a model based on traditional Indigenous teachings and western practice.

  • This position will be 22.25 hours / week
  • Sunday: 9:45am - 4:30pm
  • Monday: 8:30am - 4:30pm
  • Tuesday: 8:30am - 4:30pm
  • Benefits included after 3 months

Key Responsibilities

The key responsibilities for the position include, but are not limited to the following:

  • Be Mahmawi-atoskiwin’s ambassador to our partners, clients, staff, and visitors by maintaining a friendly and welcoming atmosphere at the front desk
  • Manage all front office activity; greet and serve walk in traffic, answer and direct telephone calls and electronic mail
  • Maintain tidy reception and training areas
  • Assist with administrative functions in the tracking of client information, data collection, data entry, filing and invoicing
  • Perform general administrative tasks (e.g. printing, laminating, photocopying)
  • Ensuring the kitchen is clean and stocked and that visit rooms are cleaned and sanitised including disinfecting rooms at End of Day
  • Any other duties as assigned by the Office Manager

Skills, Knowledge, and Ability:

The requirements listed below are representative of the knowledge, skills and competency required for this role:

  • Strong knowledge of MS Excel and Word  
  • Strong engagement, communication and interpersonal
  • Self- motivated, friendly, energetic, detail oriented, flexible, uses initiative
  • Proven organizational, time management and multi-tasking skills
  • Ability to maintain a high level of accuracy in preparing and entering information.
  • Team player, ability to work independently and maintain confidentiality

Qualifications and Education:

  • 1-2 years administrative and/or customer service experience
  • High School Diploma
  • Business Administration certificate is considered an asset
