37.5 hours/week (M-F 9:00 – 4:30 with some flexibility due to meeting schedules)

For more than 30 years, Sagesse has empowered individuals, organizations and communities to break the cycle of violence by curating environments to heal and develop skills to lead safe, healthy lives. We work in more than 30 communities across Alberta – either directly providing service or partnering with agencies help deliver our programs. Our work falls into three categories; direct service programs, capacity building and education and advocacy: 

 

  • Peer support groups and mentorship for women who have experienced domestic violence, are at risk of being abused, or women that have been involved in sex work.
  • Capacity-building workshops to other organizations about the experience of domestic violence within LGBTQ communities.
  • Education to informal support networks about how to recognize domestic violence, respond (based on the situation), and refer to the appropriate supports.
  • The backbone agency for the Calgary Domestic Violence Collective (CDVC); a collaborative community response to support individuals, families and societies to live free of domestic violence and a provincial collective impact initiative.

We are seeking an Office Coordinator person to join our team. This position is responsible for providing a broad spectrum of administrative support functions to program and collective staff, and senior managers.  Accountabilities will include general office administration and management, coordination and preparation of recruitment/training/supervision of volunteer administrative support, board and membership meetings and reports, assistance with fundraising activities, and broad spectrum assistance to the Business Manager.  The position requires an efficient worker with strong organization and problem-solving skills. The successful candidate is a dependable self-starter who can juggle a number of tasks and projects, and demonstrates versatility as part of a dynamic team.

 

Qualifications
  • Business Administration Degree or Diploma or similar program
  • 4-6 years’ experience in Business Administration and Office Management
  • Engages in curiosity and vulnerability (Brene Brown)
  • Personable and adept at building relationships
  • Thrives in a fast paced, forward thinking environment with demonstrated problem solving skills
  • Effective written and verbal communicator
  • Proven critical and intuitive thinker
  • Proficient at managing multiple projects with attention to detail
  • Skills testing required

 

Role & Responsibilities

 

Office Management

  • Respond as first point of contact for all administrative requests or issues from all staff  
    • Recruit, train, and supervise administrative volunteers for day to day admin support, fundraising activities, awareness raising activities
  • Maintain general office cleanliness
  • Maintain office supply inventory and program workshop supplies
  • When required create a pleasant office environment by answering and directing calls, greeting clients and guests

 

  • Manage incoming and outgoing communications
  • Other duties as requested by Sagesse leadership team
  • Assure the maintenance of the yearly-calendar for program events, agency activities, due dates, and fundraising events.

 

Business Administration

  • Manage and maintain all administrative files
    • Assist with monthly financial coding
  • Support meetings for board and membership  including: scheduling, minute taking and event preparation
    • Develop and maintain all non-client databases (membership, donors, Board, volunteers, stakeholders, etc.)
  • Develop and assure the execution of the technology and telecommunications plan including ensure first level (on-site) and second level (off-site) technology support
    • Develop and assure the execution of the facility maintenance including ensuring ongoing issue management and resolution
    • Setup and maintain vendor relationships for program administration
