About EMI:

Engineering Ministries International Canada (EMI Canada) is a non-profit Christian development organization mobilizing volunteer architects, engineers, surveyors, building technicians and other design professionals who donate their skills to help children and families around the world step out of poverty and into a world of hope.

EMI has over 100 staff and interns who serve in our 11 offices around the world. The Canada office works closely with our colleagues in these offices, including supporting the multiple Canadians who are serving internationally with EMI.

Job Overview:

EMI Canada requires an Office Administrator to be the public’s first point of contact, to create and implement efficient systems, and to manage the office’s administrative operations.

The Office Administrator performs detailed work involving the coordination and communication of information and the implementation of administrative resources and processes that support the team in meeting our ministry goals.

The successful candidate will have an understanding of and a passion for working in an international context, serving people and ministries from all around the world. They will have a positive outlook and willingness to proactively learn the answers to new and challenging questions. They will have a desire to go beyond day-to-day tasks and think strategically about EMI’s past, present and future.

Job Duties:

  • Respond to all donor inquiries regarding donation set-up, changes to recurring donations, end-of-year receipting, and giving options.
  • Manage and maintain donation management system, including troubleshooting, data-entry and assisting other staff members in the use of the system. 
  • Accounting duties such as visa reconciliation, staff reimbursements, data entry, reporting, paying vendors, assisting with budgeting, and year-end.  
  • Regularly communicate and collaborate with staff in other offices to facilitate the transfer of funds and placement of staff, volunteers and interns in other offices.  
  • Assist with human resource duties such as on-boarding and off-boarding of staff and recruitment of both volunteers and staff. 
  • Assist the EMI Canada Board and Executive Director with the research and development of policies grounded in best practices and legislative compliance.  
  • Provide organizational support for fundraisers and social events including attending as a representative of EMI Canada.  
  • Manage event finances, communications and volunteer coordination. 
  • Contribute to the creation and distribution of promotional materials, both print and electronic. 
  • Contribute to EMI Canada social media and internal/external publications. 
  • Manage office volunteers including arranging scheduling and task assignment.  
  • Other office administrative duties to ensure the smooth and efficient operation of the office as required.

Requirements:

  • 2 – 5 years of experience in a related role. 
  • Post-secondary education in a related field, e.g. Business, Communications, Marketing, Finance, Human Resources, or equivalent experience.  
  • High level of proficiency with computer software including Microsoft Word, Excel, Outlook, Adobe and other web-based programs. 
  • Ability to learn and master new administrative systems easily without extensive training.
  • Excellent written and verbal communication skills.
  • Ability to quickly gain a comprehensive understanding of an organization’s practices and systems and to communicate this to others both within EMI and externally.
  • Strong research and information search and retrieval skills.
  • Willingness to sign EMI Canada’s Statement of Faith and Honour Code.

Desirable Skills and Attributes:

  • Previous experience in the charitable sector with a strong understanding of the rules governing charities in Canada.
  • Familiarity with accounting software and bookkeeping practices.
  • Experience in Human Resources administration such as recruitment and policy development.
  • Strong visual and graphic communication skills and basic understanding of graphic and publication software such as InDesign and Photoshop.
