Position Summary:

Reporting directly to the Resource Development Director, the Donor Relations Manager is responsible for the execution of yearly fundraising goals through the development, growth, and stewardship of existing and new major donor accounts. This position manages the donor acknowledgment process for all major donors, develops RFP’s, implements strategies for major donor prospect identification, cultivation, and stewardship, assists with fundraising campaigns, and conducts donor research, data management, and analysis.

Working closely with other Inn from the Cold departments, this position is also responsible for ensuring that the resource development department has access to program data that guides the development of RFP’s and donor reports, and equally important, that program staff understand funding requirements, ensuring an increased accountability to all stakeholders.

Primary Duties and Responsibilities:

Donor Relations

  • Meet IFTC revenue goals through management of specific corporate, foundation, and individual donor relationships within the Major Giving portfolio.
  • Develop Donor Relations/Stewardship plans for >$10K gifts.
  • Manage special handling stewardship for all major gifts.
  • Maintain relationships with donors including visits, announcements, and information exchanges.
  • Prepare donor reports and other stewardship activities as per reporting schedule and grant agreements.
  • Prepare and maintain RFP’s, grant agreements, contracts, and sponsorships, ensuring all obligations are met.
  • Identify, nurture, and grow current and prospective funding relationships, with special attention to major gift potential.
  • Lead research on Foundations, major donors, corporation, and service clubs to identify prospective new major donors and granting opportunities, in collaboration with Donations Assitant.
  • Track and analyze donor data; analysis of LYBUNT, SYBUNT, new donors, reactivated donors, and other trends in giving; manage major donor reactivation.
  • Collaboratively plan and assist with implementation of major gift campaigns.
  • Coordinate major donor functions or other cultivation events and perform follow-up after event.
  • Manage fundraising data and records in Raiser’s Edge, ensuring that information is current and accurate.
  • Engage Board of Directors in fundraising activities and donor stewardship.
  • Assist the Director, Resource Development in the development and implementation of fundraising strategies to maximize financial gift support through all stages of the fundraising cycle (identification, cultivation, solicitation and stewarding of donors).


  • Coordinate with Finance/Accounting department to:
    • Manage designated fund tracking and budgets.
    • Monitor funding levels for programs and establish fundraising goals i.e. areas where funding is needed.
    • Prepare and monitor fundraising forecast and metrics.  
  • Facilitate communication across departments to assure:
    • Staff are aware of available funds and are spending according to grant agreements and budgets.
    • Shortfalls/excesses in funding are discussed.
    • ‘Wish List’ budgets or projects are determined so that appropriate fundraising goals can be established.

Donor Management

  • Manage funding requirements, contract obligations, and stewardship obligations to ensure funding is spent appropriately.
  • Ensure the quality and accuracy of monitoring and evaluation aspects described in proposals and reports.
  • Provide updates for donor wall, annual report, website, social media, and other recognition as required.

Qualifications & Skills:

  • Bachelor’s degree in relevant field and three years of experience in progressively responsible fundraising roles (i.e. annual campaign, grants, major donor, corporate, special events, planned giving).
  • Experience working within the non-profit sector and with vulnerable populations.
  • Proficiency in Microsoft Office suite of products, including Excel.
  • Experience with budget management; accounting background would be considered an asset.
  • Proficiency in Raiser’s Edge and NXT.
  • Demonstrated background in research and analysis.
  • Demonstrated ability to meet revenue goals.

  • Demonstrated ability to prioritize work, and independently manage multiple, diverse, and competing priorities while meeting deadlines.
