Inventory Coordinator

The Calgary Food Bank is looking for an Inventory Coordinator to join our Logistics and Inventory team!

Primary responsibilities:

  • Work directly with the Logistics and Inventory Manager to achieve organizational food distribution goals.
  • Liaise with Calgary Food Bank departments, programs and partners to manage internal and external food movement and distribution.
  • Act as a Calgary Food Bank representative in working with food industry partners to determine acceptance of donations.
  • Identify solutions, plan and execute measures to mitigate risk and to repair or advise on requirements to purchase or source food products.
  • Communication and reporting in the organization on food inventory levels and usages.
  • Perform physical audits.
  • Source needed products.
  • Develop and maintain productive working relationships with staff, volunteers, donors, society members, general public and other organizations.


Tasks performed:

  • Ensure accurate product inventory for Calgary Food Bank clients.
  • Acts as the central point of contact with the exclusive responsibility and accountability in assessing, distributing, tracking and reporting the distribution flow of food to all stakeholders.
  • IMS system analytics and reporting to streamline business operations.
  • Identify and report risk exposures (e.g. shortages, excess products).
  • Communicate with key stakeholders of Calgary Food Bank programs about current stock and potential issues with orders.
  • Ensure program requirements are being filled using existing inventory/donations.
  • Report on inventory activities and variances on a daily basis.
  • Daily audits of milk and egg supply.
  • Maintain system issues log.
  • Prepare next day’s schedule for Calgary Food Bank programs based on priority level of programs as well as inventory levels.
  • Maintain inventory minimum and maximum levels and publish as required.
  • Preparation of weekly, monthly and annual reports to the organization on inventory levels.
  • Perform cycle counts – by category, location and random audits.
  • Initiate purchasing requisition for needed items for programs.
  • Monitor FIFO, best before date compliance and safe food handling practices.
  • Assist with budgeting process.
  • Other duties as required.
  •  Develop and implement inventory control procedures and best practices.


Education and experience

  • SCMP designation or extensive inventory control experience.
  • Minimum 5-7 years experience in logistics and inventory.
  • Experience working with Food Industry.
  • Preference given to candidates with experience on business intelligence reporting and solutions.

  • Able to work independently and provide timely reporting on progress.

Working conditions and physical requirements: Working conditions are normal for an office environment and will require frequent visits to the warehouse. Candidate must be able to be on feet for extended periods of time and be able to lift up to 25lbs. The qualified candidate must be open to working outside of normal business hours and weekends. This is a full time position working Monday to Friday.
