Financial Administrator

This is a new full-time position, based in Calgary, with primary reporting to the Director, Finance & Risk. The Financial Administrator role is vital to achieving and maintaining excellent accounting records and supportive relationships with staff, volunteers, service partners, funders and the general public. S/he will play an important role in supporting the significant growth and organizational change IAF expects to experience over the next few years. The IAF environment is fast-paced and entrepreneurial. 

The Financial Administrator role will have the following responsibilities:



  • Maintain accounting information using MS Excel Spreadsheets, financial software and prescribed accounting processes
  • Manage Accounts Payable, cheques, employee expense reimbursements, bank reconciliations, deposits, financial statements, funder reports etc.
  • Prepare funder claims and cash flow reports, prepare financial reports for funders
  • Maintain monthly audit binders and support all audit activities
  • Maintain charitable tax-receipting
  • Compile information for financial dashboards and other reporting tools
  • Collate and file financial information from all sources and prioritize according to relevance; distribute to appropriate individuals within the organization
  • Respond to information inquiries regarding finances via telephone or email as required
  • Maintain paper and electronic files
  • Create and maintain finance related forms
  • Additional tasks as required by the Director, Finance & Risk


Loan Administration

  • Completing any paperwork for loans where the recipient enters into bankruptcy, consumer proposal or orderly payment of debt
  • Reconciliations and reports on the accounts used for loan administration
  • Oversee the loan administration staff and process:
    • Maintain an accurate loan repayment collection system
    • Process and record loan disbursements and payments
    • Handle and/or correct all payment errors, amortization errors
    • Ensure that write offs of bad debts are done properly in both the loan management and accounting systems
    • Submitting monthly credit bureau reports



  • Responsible for payroll and all related activity regarding government and pension/benefit remittances
  • Required to verify that payroll accurately reflects vacation and sick time, and all changes to remuneration

Qualifications and Knowledge:

  • Accounting certificate or degree is required
  • Demonstrated experience in bookkeeping/accounting
  • Must have CPA designation
  • Experience dealing with payroll and a complete understanding of the Employment Standards across Canada; including taxable benefits in relation to MERC, RRSP and employee benefits
  • Experience with government claim processes and reporting is an asset
  • Related experience that demonstrates growth and the progression of skills and responsibilities
  • Intermediate to advanced MS Office skills (Word, Excel, PowerPoint, SharePoint and Outlook) 
  • Experience with Concur, QuickBooks Online, or Blackbaud Financial Edge is an asset
  • Experience with loan management software would also be an asset
  • Must have ability to learn new software systems
  • Related experience that demonstrates growth and progression of skills and responsibilities


Working Conditions: 

  • Shared open office space 
  • Full-time (37.5hours/week)
  • Flexibility to work outside of regular business hours due to committee and other meetings, events, emergencies
