Executive Assistant to the Chief Development Officer

The Mustard Seed is a Christian humanitarian organization whose vision is to build community, grow hope and support change. POSITION SUMMARY

The Executive Assistant reports to and provides a high level of confidential administrative support to the Chief Development Officer (CDO).  This is a critical role that supports efficient leadership of the CDO through effective communication with donors, community stakeholders and all functional service and program areas for The Mustard Seed Alberta.

MAJOR DUTIES AND RESPONSIBILITIES

  • Maintain an overall awareness of the CDO’s business needs and activities.
  • Manage the CDO’s calendar including: prioritization of meetings, advising on daily events/issues, preparing all necessary documents and meeting material.
  • Prepare daily portfolios containing schedules, support materials, travel documents, documents for approval and signature, etc.
  • Screen, redirect and respond to phone calls in a professional manner.
  • Process mail and email correspondences.
  • Schedule all internal/external meetings and appointments and proactively resolve meeting schedule conflicts.
  • Coordinate travel arrangements and assist with Development events.
  • Draft and prepare reports, correspondences and communications.
  • Prepare presentations using PowerPoint or other presentation software.
  • Review and reconcile expense reports, corporate credit card statements and invoices.
  • Assist in budget preparation and tracking.
  • Correspond with donors and volunteers and respond to their general public inquiries in a timely and professional manner.
  • Ensure legal requirements are fulfilled with respect to wills and planned giving.
  • Maintain a database and filing system for the Development team including planned giving and estates.
  • Provide administrative support to the Development Advisory Committee.
  • Point of contact for the team sick days, vacation days, flex days.
  • Monitor team members vacation and flex day approval to ensure coverage of all areas of Development.
  • Represent The Mustard Seed at third party events.
  • Display Christian leadership and model The Mustard Seed Values.
  • Other duties, as required

MINIMUM QUALIFICATIONS AND SKILLS

  • Certificate or diploma in office administration.
  • 5 years of experience as an administrative assistant, with 3 years’ experience at a senior level.
  • Exceptional skills in diplomacy and interpersonal relations.
  • Demonstrates adaptability, team excellence, results focused, service excellence.
  • Ability to build and maintain effective interpersonal relationships at all levels of the organization including Board members and major stakeholders.
  • Discretion with confidential information.
  • Ability to work occasional long hours and some weekends in support of events.
  • Demonstrate strong oral and written communication skills.
  • Detail oriented and demonstrated ability to handle multiple projects.
  • Exceptional time management, organizational skills, and planning skills.
  • Efficient and resourceful.
  • Intermediate to advanced skills in Outlook, Word, Excel and PowerPoint.
  • Solid background with relational databases.
  • Thrives in a fast-paced environment.
  • Team-focused, demonstrating support to the whole organization; works well with all team members.
  • Takes initiative and demonstrates good judgment.
  • Superb attention to detail.

OTHER INFORMATION                  

  • This is a permanent full time position.
  • Work days and hours - Monday to Friday with the flexibility to accommodate evenings and weekends as required.
  • Employment Security Check is required
  • As The Mustard Seed is a Christian ministry, we require our employees to be in agreement and to sign our statement of faith
  • Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer
