Permanent Part-Time

 The Calgary Minor Soccer Association (CMSA) is seeking an experienced Executive Assistant/ Project Manager to join our growing organization for approximately 22.5 hours per week. The Executive Assistant/Project Manager will work closely with the Executive Director on key projects and will provide support to scheduling department during peak times. The successful candidate will possess a high degree of self-confidence, ability to problem solve, show initiative and take on key projects within the organization. CMSA is Calgary’s largest youth sporting organization, providing services to our thirty-three-member clubs and 30,000 youth.  Key Activities and Accountabilities

  • Assist the Executive Director with administrative work related to the CMSA, including organizing meetings, creating agendas and compiling Board packages, taking meeting notes, preparing reports or documents, developing presentations
  • Manage the membership process and work with Executive Director to ensure membership requirements are being met
  • Manage key projects such as grant applications
  • Plan and coordinate Planning Meetings, Special General Meetings and Annual General Meetings.
  • Serve and respond to concerns of our member organizations daily.
  • Assist in the planning, coordination and development of annual business and operational plans
  • Data analysis; Proficient in Access, MS Word, Excel, Outlook. Perform filtering and sorting of data.
  • Train new staff on office equipment, policies and procedures. Arrange for setup on new computers and logging of new employees in database.
  • Prepare executive responses to routine memos, letters, or correspondence
  • Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
  • Interact with members when appropriate and problem solve. Document complaints and develop an appropriate course of action. Report problems to Executive Director when they cannot be initially resolved.
  • Arrange corporate events taking place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events

Knowledge, Skills, Experience

  • Five+ years’ experience working in an administrative role
  • University degree or diploma in sport or business administration considered an asset
  • Strong problem solving and communication skills
  • Ability to take initiative and start new projects with little supervision
  • Excellent writing skills with a strong attention to detail
  • Expert knowledge in all Microsoft office applications
  • A strong team player
  • Comfortable managing multiple priorities and deadlines
  • A commitment to ongoing quality improvement and providing excellent service to our membership
  • Comfortable working in a changing environment
  • Experience in developing and maintaining positive working relationships
