 Position Summary

This is a senior level administrative support position responsible for providing a broad spectrum of administrative support functions to the Chief Executive Assistant and the leadership team. The Executive Assistant is an effective and efficient individual with a high level of confidentially who reports to the CEO.  This role also interacts with employees, administrative staff and the public.

Duties and Responsibilities


  • Provide direct administrative support to the CEO and management team as needed
  • Maintain work schedule and calendar of the CEO
  • Prepare travel schedules, book travel arrangements, and make reservations for CEO
  • Support in reviewing and preparing all documents including, contracts and reports
  • Administrative coordination and supporting the Board of Directors meetings, agendas and reports
  • Complete expense reports, invoices, and other related duties
  • Assist with organizational committee events
  • Assist with compilation of Agency Annual Report
  • Responsible for minutes of Management and Leadership team meetings
  • Travel and conference bookings for the Agency
  • General office administration and reception back-up when needed
  • All other duties assigned




  • Completed post-secondary education in a relevant field (Business Administration and/or Human Services Administration)
  • Five or more years of experience as an Executive Assistant
  • Strong interpersonal skills
  • Strong verbal and written communication skills
  • Solid Decision making skills
  • Highly organized and strong attention to detail
  • Respectful of confidentiality and ensures privacy of information
  • Ability to work independently, as well as be part of a team
