Executive Assistant

The Executive Assistant (EA) is a hybrid role comprised of two primary responsibilities: EA to the CEO and Leadership Team, and Corporate Secretary to the Board of Directors.

The successful candidate will have a minimum of five years’ EA experience working with senior leadership. The EA has to work with speed, flexibility and accuracy, be adaptable to change and comfortable with unpredictability, and demonstrate a willingness to meet high expectations. An ability to work effectively, both, in a team environment and independently in supporting the Chief Executive Officer (CEO) and Leadership Team is essential. The CEO’s time in the office varies greatly and the EA must be self-directed, take initiative and anticipate the needs of the CEO and Leadership Team. This is a full-time position reporting directly to the CEO.

Primary Responsibilities:

          Executive Assistant to the CEO:

  • Implement and integrate administrative systems and processes to support the CEO and Leadership Team in an effective manner
  • Manage the CEO’s schedule and daily activities
  • Anticipate the needs of the CEO and Leadership Team and be proactive in identifying potential challenges and opportunities
  • Maintain positive relationships with Calgary Reads staff, Board, and other stakeholders

          Corporate Secretary to the Board of Directors:

  • Attend meetings, take minutes, and oversee and implement all details concerning board and committee meetings
  • Managing Board communications, including Board binder, consent agenda and web portal

Skills & Knowledge:

This position requires exceptional skills in:

  • Administration and organization
  • Technology; ability to embrace new IT systems, databases, etc.
  • Prioritizing and time management
  • Critical thinking and analytical skills
  • Customer service and interpersonal skills
  • Knowledge of Board governance and experience working with nonprofit boards would be considered an asset

Professional Attributes:

  • Detail-oriented and able to multi-task under deadline pressures while maintaining a calm demeanour
  • With notice, ability to flex schedule to accommodate CEO schedule
  • Exercise good judgement and professionalism when acting on behalf of the CEO
  • Maintain strict confidentiality

Minimum Education/Certification Requirements:

  • 5+ years of computer-based, progressively senior administrative experience
  • Post-secondary education in Administrative or Clerical an asset
  • Proficient in Microsoft Office, with particular emphasis on Microsoft Word, PowerPoint and Outlook
  • Excellent written and oral communication skills in English
