Executive Assistant & Receptionist

The Executive Assistant & Receptionist is a hybrid role comprising of three primary responsibilities:


  • EA to the Executive Director,
  • Receptionist
  • Corporate Secretary to the Board of Directors


The person in this role needs to bring experience and be able to work well as part of a professional team and yet function independently supporting the Executive Director. The Executive Director’s time in the office is varied and so this role is charged with organizing and coordinating work, managing schedules to ensure organizational effectiveness and efficiency, and be the calm, professional connection to the Executive Director. This is a full-time position reporting directly to the Executive Director. Part-time consideration will be given to the right candidate.

Primary Responsibilities:

1. Executive Assistant to the Executive Director:

  • Support the work and schedule of the Executive Director in her daily activities
  • Implement and integrate administrative systems and processes to support the Executive Director in an effective manner
  • Act as the principle liaison between staff and the Executive Director; facilitate cross-agency communication and participation

2. Receptionist:

  • Function as a first contact and create a welcoming space for those entering the office
  • Provide a high level of customer service; ensuring that all who contact Calgary Reads, either in person or by phone, receive efficient and warm service
  • Manage the processes for maintaining and booking of all meeting rooms and meeting requirements
  • Various administrative duties as they arise

3. Corporate Secretary to the Board of Directors:

  • Oversee and implement all details in preparation of board and committee meetings and the AGM to ensure all is done with excellence; attend meetings, take minutes and manage materials as requested

Skills & Knowledge:

  • Possess well-developed administrative and people skills
  • Possess strong prioritizing and time management skills
  • Possess excellent customer service and interpersonal skills to build and maintain effective relationships with the Calgary Reads team, external partners, and in community
  • Possess complex and critical thinking skills; take the initiative to impact the success of your area of responsibility
  • Able to work effectively both in a team and autonomously under deadline pressures
  • Able to handle and effectively resolve conflict
  • Able to multi-task while maintaining a calm demeanor
  • Able to create a cooperative work environment and act as agent on behalf of the Executive Director
  • Confident, detail-oriented and able to maintain strict confidentiality
  • Possess strong computer skills and the ability to embrace new IT systems, databases

Minimum Education/Certification Requirements:

  • 5+ years of computer-based, progressively senior administrative experience
  • Post-secondary education in Administrative or Clerical an asset
  • Proficient in Microsoft Office, with particular emphasis on Microsoft Word, PowerPoint and Outlook
  • Excellent written and oral communication skills in English
