Events Coordinator


 Wellspring Calgary supports people living with cancer, their families and caregivers, with comprehensive resources, education and support to manage the day to day effects of cancer and its treatment. We rely solely on the community to ensure our high quality programs are offered at no charge and without referral to members.  A large percentage of our support comes through fundraising events and community (third party) fundraising initiatives. We are seeking a dynamic individual who will lead and promote the signature events for Wellspring Calgary along with being the key liaison for our community hosted events.

 Events Coordinator Role:                                                                                           

Key activities and responsibilities include:

  • Plan, organize and manage Wellspring Calgary’s signature fundraising events from concept to completion, ensuring they operate smoothly and efficiently, namely Toupee for a Day and the triWELLathon event
  • Responsible for any other events which may be identified as new signature events
  • Responsible for providing leadership and be the first point of contact to our volunteers and third party donors hosting community led events.  The goal will be to take Wellspring Calgary’s community event program to the next level and to ensure Wellspring donors and supporters experience leaves them feeling supported and appreciated
  • Represent Wellspring in the community by being knowledgeable about the cause and developing and maintaining supportive relationships
  • Work closely with staff and volunteers to establish vision and methods to achieve and exceed the goals of each event
  • Procure donations and encourage event registrations
  • Create and adhere to appropriate timelines and ensure that necessary resources are in place
  • Maintain accurate records, process all revenues and expenses and reconcile finances
  • Implement strategies to improve existing events and enhance public awareness by promoting Wellspring events in the community
  • Work with senior management team to integrate new fundraising opportunities
  • Ensure that Wellspring events are of the highest standard by adhering to all charitable and ethical guidelines
  • Recognize and thank donors and sponsors at events and at post-event follow-up
  • Ensure effective and meaningful stewardship of event participants and sponsors including cultivation for subsequent events
  • Bring creativity and enthusiasm to the workplace


  • Three to five years of experience in event planning
  • Post-secondary degree or diploma
  • Strong interpersonal skills
  • Strong project management and time management skills
  • Ability to interact enthusiastically and professionally with people of differing ages, personalities and cultures
  • Ability to thrive in a team environment and be self-motivated
  • Ability to provide leadership to a group
  • Experience in marketing, promotions or public relations is an asset
  • Experience with customer database software (e.g. Raiser's Edge) is an asset
  • Experience with event registration software TeamRaiser (blackbaud) is an asset
  • Ambitious, enthusiastic, and friendly
  • Enjoys building relationships in the community
  • Proficiency in Excel, PowerPoint, Microsoft Word, Outlook skills and web based tools
  • Excellent communications skills that comprise of written, verbal, listening, and presentation capabilities
  • Proven experience handling multiple tasks

  • Able to work flexible work hours including evenings and/or weekends as required for events

The Position

This is a full-time position reporting to the Director of Philanthropy. Competitive salary and benefits.  Some evenings and weekends as required.
