Events & Membership Manager

The Calgary Chamber of Voluntary Organizations (CCVO) is a member-based organization that works to strengthen the nonprofit sector in Calgary and beyond. CCVO operates as a backbone organization for the nonprofit sector through providing practical supports, meaningful information, advocating for, and connecting sector organizations and its stakeholders. The Events & Membership Manager will play an integral role at CCVO as a strategic contributor to the engagement of individuals and organizations through our evolving events and membership strategies. This position has integrated and cross functional responsibilities for events and membership at CCVO.

The Events & Membership Manager is energetic, highly personable, and values exceptional service, quality work, and personal relationships. This role reports to the Director, Community Engagement and works closely with colleagues, partners, contractors, and suppliers to ensure professional event execution and membership engagement.

DUTIES AND RESPONSIBILITIES

Events

The Events & Membership Manager is responsible for management of events, overseeing budgets and timelines, collaborating with team members, and developing vendor and sponsor partnerships. Events related duties include:

 

  • Project manage CCVO member and signature events from concept to completion.
  • Conduct pre-and post-event evaluations and report on outcomes to ensure continuous improvement.
  • Provide logistical support to colleagues for workshops and programs.
  • Enhance member experience at events, workshops and programs.
  • Assist in identifying event sponsors and potential funding opportunities for member and signature events.
  • Collaborate with communications staff to promote and publicize events, including event marketing collateral, evite copy, and attendee communications.
  • Setup and administer event registration using online platforms.
  • Determine timelines, project management tasks, and divisions of duties.
  • Develop and manage event specific budgets, reconciliation, and event income and expenses.
  • Ensure overall project execution, performance, and profitability.
  • Engage team members and train volunteers to ensure exceptional event execution.
  • Build relationships and negotiate contracts with suppliers and vendors.
  • Manage logistics including decor, catering, entertainment, transportation, venue, special guest needs, equipment, audio-visual, and room layouts.
  • Event production and on site execution.
  • Conduct research to identify event trends and best practices in event management.
  • Ensure compliance with all insurance, legal, health, and safety obligations.
  • Proactively mitigate risk, handle issues and troubleshooting any emerging problems on the event day.

 

Membership

The Events & Membership Manager is responsible for acquisition, retention, and cultivation, as well as member events, benefits, communications, and marketing collateral. Membership related duties include:

 

  • Lead the development and implementation of a comprehensive membership plan that meets the needs, and exceeds the expectations, of current and prospective members.
  • Grow membership through the creative implementation of targeted strategies, working closely with communications staff to ensure consistent execution of efforts.
  • Achieve organizational membership priorities by creating unique initiatives and executing effective existing and new membership benefits.
  • Monitor membership trends and best practices, conduct research, analysis and regular membership surveys to track membership statistics and satisfaction.
  • Manage membership renewal and engagement processes and communications, implement tactics for increased member retention.
  • Develop content strategy and editorial calendars for member communications with creation and utilization of key messages through websites, emails, presentations, etc.
  • Handle membership administration, including membership records and database development.
  • Regularly communicate members’ needs and partner opportunities with colleagues, and engage colleagues to support membership initiatives.
  • Manage and assist with the development of the membership budget.

 

QUALIFICATIONS

 

  • Related education; undergraduate degree, CMP or CSEP designation preferred, and minimum 5 years’ experience in events management and/or membership engagement.
  • Experience, knowledge, and strong interest in working within the nonprofit/voluntary sector.
  • Excellent interpersonal skills, written and communication skills, and a strong customer service orientation.
  • Outstanding project management skills.
  • Highly organized and strong attention to detail.
  • Able to work to tight timeframes.
  • Demonstrated ability to work in a team environment with extensive collaboration and interaction with colleagues and other organizations in the voluntary sector.
  • Proactive approach and positive attitude when handling/troubleshooting through stressful situations.
  • Strong computer skills, with knowledge of Microsoft Office, email marketing, and event management platforms.
  • Flexibility to adjust schedule to work outside of regular office hours, as required.
