Event Coordinator

RESPONSIBILITIES

  • Manage AARC’s events in coordination with the Director of Development.  These events include Gala Benefit Dinner, Golf Tournament, Stampede Breakfast, Donor Appreciation night, Staff Christmas Party, Addictions Conference and other events as they are introduced
  • Manage all aspects of events; for example, live and silent auction, raffles, Power Point, sponsor logos, invitations, event program and outline, sponsorship spreadsheets
  • Coordinate all event mail outs, correspondence and update event timelines
  • Communicate with sponsors and donors regarding events in coordination with the Director of Development
  • Design graphics for Billboard Advertising, Magazine Advertising, AARC Annual newsletter and email communications
  • Research new and creative ideas for each event including venues, raffle items, centerpieces and vendor prices
  • Communicate with event speakers, emcees and auctioneer in coordination with the Director of Development
  • Communicate and manage parent volunteers within the organization for each event
  • Manage Parent and Alumni volunteers for events, preparation of volunteer schedules, update job roles and track volunteer hours
  • Implement, maintain and track budget and revenue and expenses for all events
  • In coordination with the Director of Development write and prepare proposals as well as create solicitation packages and other relevant materials
  • Implement and ensure donor recognition policies are applied to all donations
  • Maintain a high level of customer service to donors
  • Assist with the management of social media pages and website
  • Coordinate with the Director of Operations to ensure compliance with finance and charitable giving tax laws
  • Maintain positive relationships with all departments and parent group within the organization
  • Attend and assist at functions held in the community and organized by AARC as required
  • In consultation with the Director of Development establish personal goals, objectives and strategies for major gift fundraising, assessing and interpreting resultsWork occasional evenings and/or weekends as required
  • Assist the Director of Development with other duties as requiredOperate within the philosophy, culture and values of the organization

QUALIFICATIONS

  • Ideally holds a post-secondary or a combination of related experience and education
  • Minimum two to five years previous experience in a Fund Development/Event Role
  • Demonstrated experience in non-profit and event planning
  • Demonstrated excellence in communications, relationship building and teamworkAbility to maintain a high degree of professionalism, confidentiality and diplomacy
  • Exceptional oral and written communication skills
  • Strong planning skills, work well under pressure, prioritize work and attention to detail
  • Excellent interpersonal skills with the ability to manage, motivate and mentor others including volunteers
  • Ability to work independently and as part of a team
  • Highly organized, with the ability to effectively manage multiple priorities at one time
  • Can adjust to changing priorities as needed with the ability to multi-task to meet deadlines
  • Computer proficiency in Word, Excel, Publisher, Power Point, Adobe Creative Suites and database programs
  • Ability to communicate the vision and key messages of AARC to the community
