Data and Evaluation Assistant

Position Description
Overseen by the Director of Philanthropic Partnerships and working directly with the Programs, Evaluation, and Development teams, the Data and Evaluation Assistant will be responsible for dealing with a range of confidential client, program, and donor information, working with various databases, and ensuring high data quality.

Primary Responsibilities

  • Handle sensitive data with integrity
  • Ensure that confidentiality of data collected and stored is maintained
  • Conduct data entry, quality controls and verify the validity and accuracy of data entered in databases
  • Enter data results from questionnaires, outcomes instruments, and other survey methodologies
  • Ensure proper consent is received from the subjects on whom the research is conducted
  • Run reports in databases as required
  • Prepare brief written summaries of work as required
  • Other clerical duties as assigned

Specific Tasks

  • Enters monthly Intakes/move-ins, Quarterly Assessments, Exits and pre/post-tests
  • Submit monthly ART reports to funders, ensuring timeliness and accuracy
  • Advises staff around data entry schedules and data collection plans
  • Collaborates with Team Leaders and teams to obtain required assessments
  • Updates and maintains the data-entry tracking sheet, data inventory and timeliness reports
  • Participates in ongoing evaluation activities and projects
  • Assists with data analysis and information requests
  • Other tasks as assigned


  • Ensure sensitive and timely attention to data processing as it pertains to donations
  • Receive donation, volunteer and stakeholder information and follow work flow process to completion
  • Manage database for events and campaigns
  • Maintain database integrity
  • Issue donation tax and business receipts
  • Generate and issue gratitude and thank you responses
  • Map .csv files and upload into database
  • Monitor donation portals
  • Work closely with Development team to ensure transparency regarding flow of donations
  • Work closely with finance to ensure reporting consistency
  • Create and generate reports for finance and senior management
  • Handle queries from finance team and donors
  • Understand and adhere to Canada’s anti-spam legislation (CASL)
  • Understand and adhere to Alberta Personal Information Protection Act (PIPA)

Knowledge, Skills and Abilities Requirements

  • Strong existing computer skills with Microsoft Office products (advanced Excel required) and general Internet and electronic communications
  • Good working knowledge of databases (for example, Microsoft Access, HMIS, Outcome Tracker, SPSS, DonorPerfect)
  • Previous experience with domestic violence or Housing First programs is desirable
  • Capacity and will to learn new software, research methods, and work routines quickly
  • Ability to maintain confidentiality and demonstrate good judgment, tact and diplomacy
  • Attention to detail and ability to multi-task
  • High personal motivation and self-management


  • The Data and Evaluation Assistant normally works in an office environment but job duties may, at times, take them into the community.
  • The Data and Evaluation Assistant may be required to flex his/her working hours.
