Position Summary:

The Coordinator, Volunteer Resources will be responsible for the recruitment, screening, selection, training, motivation and evaluation of volunteers. This role is responsible for the development and execution of the volunteer programs.  A key component of this position is the promotion of volunteering opportunities to the public, and maintaining a positive image of the organization within the community. Other responsibilities will include the development and maintenance of policies and systems to ensure effective volunteer management, as well as the supervision of volunteers, ensuring that they are at their stations on time and have the resources needed to fulfill their duties; troubleshoot; adjust schedules in the event of no-shows, illness, etc.  The Coordinator, Volunteer Resources ensures volunteers are adequately recognized and stewarded for their efforts and seeks to improve and/or enhance offerings.

Primary Duties and Responsibilities:

  • Recruitment, screening, selection, training, scheduling, motivation, and evaluation of volunteers
  • Promote opportunities of volunteering to the public
  • Computer data entry, record keeping, maintains a variety of statistical and departmental records using Better Impact
  • Ensure all volunteers who work with children have cleared police checks
  • Designing and conducting training and orientation programs for volunteers
  • Act as a primary staff resource for volunteers and coordinates all volunteer activities
  • Responsible for the continuing development of the volunteer program
  • Develop and maintain policies and systems for effective volunteer management
  • Develop volunteer position descriptions as required to meet Volunteer requirements
  • Promote the involvement of volunteers among staff
  • Respond to requests with regard to volunteerism
  • Develop and execute a volunteer recruitment and retention strategy (including the development of a volunteer recognition program)
  • Establish and conduct screening interviews with potential volunteers and their supervisor
  • Provide basic orientation and on-going support to all volunteers
  • Communicate with volunteers to ensure a positive experience for both volunteer and the organization
  • Schedule volunteers according to skill sets and abilities to ensure that the site is well managed. Ensure all roles are filled;
  • Supervise volunteers - ensure they are at their stations on time and have the resources needed to fulfill their duties; troubleshoot; adjust schedules in the event of no-shows, illness, etc.
  • Bring a good understanding of which roles are most critical and be capable of adjusting to changing conditions.
  • Represent the Inn at Volunteer fairs, conduct shelter tours, deliver Lunch and Learns and other speaking engagements at external venues.
  • Meet with Community Engagement Team to provide relevant updates, participate in post event evaluation for major events of Inn from the Cold
  • Update database, volunteer job descriptions, and volunteer manual as required.
  • Assist in planning and execution of volunteer thank-you event.
  • Assist supervisors in establishing and conducting regular volunteer performance reviews including exit interviews
  • Adhere to guidelines established in the Policy & Procedure Manual, including the reporting of any abuse
  • Must use discretion and good judgment at all times to ensure the good reputation of the organization;
  • Other duties as assigned.


  • Post-secondary degree/diploma in volunteer Management or a related field preferred
  • 3 years of working experience in a volunteer coordination capacity
  • Strong interpersonal skills and have ability to work independently and/or as part of a team.
  • Strong written and verbal skills with the ability to communicate effectively and efficiently.
  • Must provide clear RCMP or police security clearance.
  • Politically and culturally sensitive.
  • High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts.
  • Excellent verbal, written and presentation skills.
  • Must have intermediate experience in MS office programs
  • Ability to work independently and as part of a team
  • Ability to develop recruitment and selection procedures
  • Proven ability to supervise, motivate, train and monitor the performance of a team of volunteers.
  • Ability to conduct effective presentations.
  • Ability to communicate in a friendly and informative manner with people from a wide variety of cultural and ethnic backgrounds and lifestyles.
  • Ability to work independently and possess strong time management skills
  • Ability to supervise and train employees, including organizing, prioritizing, and scheduling work assignments.
  • Solid negotiation, conflict resolution, and people management skills.
  • Excellent teamwork and team building skills.
  • Good training, coaching, and mentoring skills are essential
