Coordinator, Governance Administration

Job purpose

Reporting to the Manager, Governance and Advocacy, the Coordinator, Governance Administration takes on a strong administrative role in order to support SAITSA’s overall governance, inclusive of the Board of Directors (BOD). The Coordinator, Governance Administration supports the Manager, Governance and Advocacy by helping to ensure the organization’s governance practices are effective and efficient, and meet the needs of the organization and the members.  In addition to administrative tasks, the Coordinator, Governance Administration assists the Manager of Governance and Advocacy with event planning and tasks related to the governance of the association such as: research projects, Board orientation and training, SAITSA’s elections and annual governance calendar.

 

Duties and responsibilities

 

Leadership

  • Inspires, encourages and supports students in their ambitions to pursue leadership opportunities by demonstrating integrity, accountability and commitment to the mission and vision of the Association.
  • Acts as the operational lead in Election planning and execution of fair and transparent elections for the SAITSA Board of Directors and Executive Council.

 

Administration

  • Supports the Board of Directors and the members of its committees by assisting with scheduling and room bookings, agenda building and minute taking.
  • Understands the use of Robert’s Rules of Order and general Board governance practices.
  • Supports the annual review process for SAITSA’s governing documents.
  • Conducts research and prepares reports to aid with the continual improvement of practices related to the Board and overall non-profit governance.
  • In consultation with the Manager, Governance & Advocacy, plans and executes Board retreats/orientations; arranges accommodation, transportation, communications and other details to attending members.

 

Human Resources

  • Assists the Manager, Governance and Advocacy with the development and organization of the BOD Alumni Network.
  • Monitors and evaluates orientation, training, meeting practices and roles and responsibilities of the Board on an ongoing and annual basis.

Events & Engagement

  • Cultivates and maintains, where appropriate, strategic relationships and partnerships to inspire and advance the governance of SAITSA.
  • Effectively plans and executes events, info sessions and promotion booths, and other outreach strategies to promote and encourage membership engagement with governance and advocacy initiatives.

Completes other special projects as requested by the Manager, Governance and Advocacy.

 

 

Qualifications

 

Education 

Post-secondary education in a related field

 

Professional designation 

None

 

Knowledge, skills and abilities 

  • Strong competency in administrative duties, such as agenda building, minute taking, scheduling and documentation.
  • Event planning and execution, which takes into consideration the needs of the members and parameters of the organization.
  • A desire to want to inspire and engage with students.
  • Strong time management, organization and communication skills.
  • Knowledge of governance and related tools (E.g. Robert’s Rules of Order
  • Appreciation and understanding of the purpose and role of Student Associations/Unions in Alberta.

 

Proficiency in the use of computers 

  • MS Office proficiency required

Experience 

2 or more years of administrative and/or governance experience. Non-profit experience an asset.

 

Working Environment

 

Working environment is primarily in a climate-controlled environment with minimal safety/health hazard potential. Sedentary, sitting, walking, occasional lifting, frequent reading and computer use. Required to work some evenings/weekends for meetings, function attendance, and high demand periods. Moderate overnight travel to attend conferences, retreats and training.
