Communications Specialist Associate (Summer Position)

Position Summary

We are looking for a talented individual in the field of Communications/Information Technology. The incumbent will provide administrative services in the maintenance of all the computers including desktops, laptops, monitors, and other computing devices. Provides business support services that includes development of simple guidelines for business Operations, development of simple databases for collecting data for the council and assist with the maintenance of the website. This position requires occasional flexible time commitment. 

This position is funded by the Government of Canada under the Canada Summer Jobs Program.

Responsibilities

  • Maintain the inventory log for all desktops, lap tops and other computing devices and office appliances
  • Service all desktops and lap tops and report on maintenance requirements
  • Provide trouble shooting services to staff members with PC issues especially remote access
  • Develop simple procedures on basic use and maintenance of PCs
  • Assist staff members with back up on i-cloud and server and ensure back-up is up to date
  • Under specified instructions, develop simple databases for Action Dignity program reporting and business operations
  • Provide assistance with developing self-study training modules, development of human resources information system and maintenance of HR and Payroll records.
  • Assist with implementation of the website upgrades under the Action Dignity Communication Plan and maintenance of the website
  • Assist with development of brochures, flyers, AGM reports, Program reports etc.
  • Support staff training on use of software applications, social media and basic PC maintenance
  • Present a positive and professional image to all visitors, suppliers, inquiries, and other persons
  • Other duties shall be assigned as required

Qualifications

  • Minimum of a Diploma in Business Administration, IT or relevant discipline; Final year students may be considered
  • Strong written and oral communication skills in English
  • Knowledge of website and PC maintenance; Knowledge of creating and maintaining simple databases
  • Trustworthy, reliable and strong adherence to maintaining confidentiality
  • Knowledge of office procedures and practices
  • Attention to details
  • Proficient with Microsoft Outlook, Word, Excel, Photoshop
  • Resourceful and flexible
  • Proven organizational and strong time management skills
  • Strong cross-cultural and interpersonal skills
  • Patient and friendly, has excellent people skills and enjoys solving problems.
  • Excellent team player, works well independently and able to multi-task
  • Able to remain positive composed, and work well under pressure

To be eligible as a participant under the Canada Summer Jobs program, applicants must meet the following requirements:

  • The students must have been registered as a full-time student in the previous academic year
  • The student must be registered as a full-time student for next academic year
  • The student must be between 15 to 30 years of age at the start of employment
  • Be either a Canadian citizen, permanent resident, new immigrants or refugee
  • Be legally entitled to work in Canada in accordance with relevant provincial/territorial legislations and regulations
  • Foreign students are not eligible

The successful candidate will be guaranteed 8 weeks of employment based on a 37.5 hours/week during the summer period (June 01, 2018 – August 31, 2018).
