Alumni Engagement Specialist

Development & Alumni Engagement is currently seeking a Full-time Limited Term Alumni Engagement Specialist, Affinity Communities for approximately 2 years.

The Alumni Engagement Specialist, Affinity Communities is responsible for facilitating the implementation of the university's Affinity Communities program as well as the key strategic alumni engagement initiatives. The Affinity Communities program provides UCalgary graduates with the tools needed to organize and engage around shared interests and identities and common goals. The Alumni Engagement Specialist will develop and uphold standards and practices that are grounded in defined processes and systems. The affinity communities' model will play a critical role in cultivating, developing, and advancing alumni leaders. As such, the Alumni Engagement Specialist will work closely with colleagues across the university to identify and empower these leaders. Key responsibilities include creating, evaluating, and refining strategies for volunteer recruitment, leadership development, and relationship management.

With guidance from the Director of Alumni Engagement and support from the Alumni Engagement team, the Alumni Engagement Specialist defines clear outcomes and performance measures for Affinity Communities and implements a review process to support continuous improvement.

Primary objectives include:

  • Support and empower alumni to create best practice affinity groups which strengthen the alumni community
  • Support effective recruitment and ongoing engagement of a diverse population of UCalgary alumni
  • Position Affinity Communities as a meaningful form of alumni engagement that is scalable and rewarding for our alumni
  • Engage alumni volunteers and leaders to inform and evaluate engagement initiatives
  • Serve as engagement manager for an assigned portfolio of alumni leaders ensuring meaningful stewardship and recognition

Summary of Key Responsibilities (job functions include but are not limited to):

AFFINITY COMMUNITIES

  • Oversee the development, support and programming of alumni affinity groups and communities
  • Implement and manage Alumni Affinity Communities, enlisting institutional stakeholders and external volunteers in outreach and engagement activities
  • Plan and implement ongoing leadership training for volunteers culminating in a volunteer leaders' Summit
  • Lead the identification and launch of pilot Affinity Communities. Create long and short term goals and plans for continued growth and management
  • Support and guide assigned volunteer committees
  • Develop and maintain relationships with campus allies to leverage new opportunities for engagement
  • Facilitate the maturation process and growth of committee structures and creation of best practices, toolkits and operational guidelines to empower alumni to self-organize
  • Assist with the marketing and promotion of the Affinity Program and its activities both externally and internally through traditional media channels, electronic communications, web platforms and social media
  • Collaborate with the Engagement Specialist, Regional Programs and the SEC team to ensure appropriate staff representation at regional alumni programs
  • Conduct discovery calls and visits to engage new Affinity volunteers
  • Explore and implement Affinity Community best practices and implement the use of digital tools

STRATEGIC ALUMNI ENGAGEMENT & STEWARDSHIP

  • Collaborate with alumni colleagues across campus to identify candidates for high-impact volunteer roles
  • Cultivate relationships with notable alumni and engage them in meaningful roles within the Alumni Association and the university
  • Involve alumni of interest in meaningful ways that reflect their skills, needs, interests, and backgrounds
  • Develop and execute strategies to recruit volunteers and empower them to serve as ambassadors for the university
  • Work with partners in faculties and departments across the university to help set, accomplish and evaluate strategic alumni recruitment and stewardship objectives
  • Consider the full spectrum of alumni engagement (e.g. personal enrichment, professional enrichment, digital experience, etc.) examine and renew engagement opportunities for key alumni
  • Working with the UCalgary Alumni team, Prospect Research, and faculty partners, assist in the promotion and coordination of the Alumni Recruitment and Stewardship Plan
  • Cultivate relationships with notable alumni and engage them in meaningful roles within the Alumni Association and the university
  • Follow established volunteer management processes to ensure that volunteers are welcomed and treated as valued and integral members of the organization's human resources team

SELECTION & PROCESSES

  • Contribute to the development and execution of defined processes and systems for managing referrals, research, and alumni engagement scores to support identification and selection of Alumni of Interest, Alumni Ambassadors and Alumni of Influence
  • Work closely with colleagues in development services to capture information and data gained through engagement activity
  • Incorporate a broad range of internal and external strategies to reach out to diverse sources of volunteers. Understand and communicate the various entry points, lifecycle of volunteers and levels of engagement
  • Identify opportunities to strengthen alumni recruitment capacity through the use of technology
  • Complete records of engagement in the database to ensure accurate records regarding volunteer participation
  • Follow established volunteer and relationship management processes to foster a welcoming environment that values volunteers as integral to the University `s advancement
  • Prepare regular reports regarding key alumni recruitment performance and outcomes

Qualifications / Requirements:

  • University degree in business, communications, nonprofit management or a related field
  • Minimum of three years volunteer management or related experience
  • Outstanding communication and inter-personal skills and ability to develop positive relationships at any level
  • Very strong project management acumen is required
  • Experience managing multiple priorities in a fast-paced, deadline driven environment
  • Experience in building consensus and influencing teams made up of peers and individuals that do not have direct reporting relationships
  • Experience in facilitating presentations and delivering training is an asset
  • Experience with data collection and tracking, measuring, and reporting outcomes is an asset
  • Experience in community or alumni relations and a strong understanding of post-secondary environments are definite assets
