IntegralOrg is a registered charity focused on advancing the knowledge of registered charities and not-for-profit organizations by training and coaching boards, management and volunteers to carry out their organization's mission. “Our mission is yours”.

We are looking for a full time Administrator with excellent organization skills and the energy to be the hub for a small focused team.

Key Experience

  • At least two years of experience in administration;
  • Strong communication skills (oral & written);
  • Advanced Microsoft Office skills, with an ability to become familiar with other programs and software specific to the organization;
  • Able to maintain an electronic filing system;
  • Knowledge of the not for profit sector;
  • Experience in transcribing of voice to document;
  • Education in business administration would be an asset.

Job Description

  • Communicate with Leadership team, Board and Accounting as aligned with process and policy;
  • Handle requests for information about IntegralOrg; and forward or follow up as required;
  • Book appointments and clinics for clients and manage calendars; including taking calls, responding to emails and interfacing with clients and partners;
  • Assist in managing details of program sessions across Alberta;
  • Prepare proposals, contracts and client correspondence;
  • Assist with office coordination around day to day operations;
  • Provide assistance in reporting to funders and track details of all funding agreements;
  • Develop and maintain organizational data bases (donors/funders, contacts, mailing lists); 
  • Do research when requested;
  • Prepare charitable donation receipts and thank you letters in a timely fashion;
  • Schedule and coordinate meetings, draft agendas and do follow-up as requested;
  • Comply with all IntegralOrg policies; and suggest changes to process and policy where appropriate.
