Job Purpose

The purpose of this position is to operate and grow a small catering department with a substantial revenue.  This position is required to carry out administrative duties for the organization as a whole, filling in the gaps in order to support and keep administration running smoothly.  This individual will need to provide substantial time assisting in the preparation and success of all CDC events. This position works to assist the Assistant-Executive Director/Fund Development Manager in all areas and must be able to work with the team in a supportive role.  Having a positive attitude, being flexible and and being a strong team player is imperative in order to be successful in this role.

Duties and Responsibilities                                               

The supporting duties and responsibilities of this role include:

Position Details:

Catering Team Lead

  • Design, create, implement and evaluate an operational format for catering events which focus on the front of the house operations and technical requirements 
  • Shows the space, produces quotes and invoices for the client, collects and reports the revenue and expenses generated from each event booked in the Board Room and Freedom House 
  • Meet and consult with clients to inform of all services provided and establish the requirements of the event 
  • Ensure clear and detailed communication takes place with the clients, internal staff and yourself through, detailed contract, phone calls, emails and day of customer service 
  • Coordinates with kitchen and logistics team the event requirements and ensures that delivery, set-up and all details are implemented 
  • Ensures that all supplies are ordered and stocked and in plenty prior to upcoming events
  • Provides hospitality for guests, initial greeting and at least 2 check ins during the day to ensure satisfaction of the client
  • Maintains records and prepares reports of catering events
  • Manage and maintain a catering calendar and an events and administrative duties calendar

Event Support

  • Create and place event posters and signup sheets around the building
  • Assist with all fundraising and CDC Events and Functions
  • Christmas Gift Collection
  • Gather quotes, create agendas, order supplies and required items, arrange logistics, set up and take down of events, help market the events, collect cash and coordinate with accounting, registration

Administrative Support

  • Take clear and concise minutes from meetings where required
  • Manage bus tickets for clients
  • Maintain all office equipment and supplies regularly, order business cards, envelopes etc.
  • Manage Fine Options Program and clients
  • Create labels, keep up filing, write and or send out letters and other standard office processes

Qualifications

  • Organized, attention to detail, ability to complete tasks with little direction
  • Professional manner and a willingness to help out where needed for the greater good of the organization
  • Strong work ethic, ability to be productive in an ever changing environment
  • Strong interpersonal skills, good communication skills, client  focused, team player and collaboration skills
  • Knowledge of all social media platforms would be considered an asset
  • Writing and editing skills would be considered an asset
