Our Business, Employment and Training Services division is currently recruiting for:


Administrative Assistant, Language Instruction for Newcomers (LINC) 


Functional Statement:

Reporting to the LINC Program Manager, this position performs a wide range of administrative and office support activities to facilitate the efficient operation of the LINC program.

This is a fulltime position working 40 hours per week, 12pm – 8pm Monday to Friday each week.



Provide support with student enrolment services

  • Gather the necessary/prescribed documentation from clients for inclusion in their file
  • Provide an overview/orientation to new clients
  • Establish, maintain and manage a wait list of clients for LINC services
  • Register clients in classes
  • Maintain attendance/tracking sheets for classes and provide them to the Resource Coordinator
  • File all client-related information in client files
  • Follow up, over the phone, with students who fail to attend or those with unexplained absences

Provide and arrange for classroom supports for instructors

  • Ordering and pick up of supplies as identified by instructors
  • Arranges for resource materials as required by the program
  • Provides coaching/intervention options to clients who are in need of support and direction

Provide iCARE back up support when necessary

Perform general clerical duties including, but not limited to:

  • Photocopying, faxing and mailing, of correspondence relevant to the program
  • Receiving and directing visitors and clients
  • Ordering and maintaining office supplies
  • Periodically organize inventory controls of educational materials and tools with the aim of assuring the items availability

Responsible for the orderliness of the Instructors Resource Room relative to materials, Audio-Visual equipment and bulletin board content



  • Diploma/certificate in office administration
  • Competent with Microsoft office applications
  • Above average verbal communication and documentation skills
  • Ability to speak, write, listen, and secure information in a variety of settings
  • Ability to work effectively with others in a team environment
  • Ability to function in a busy work environment/ability to respond effectively to changing conditions
