United Way of Calgary and Area is looking to fill a one year, full-time Administrative Assistant position. Reporting to the Executive Assistant, the role of the Administrative Assistant is to provide administrative support to the Executive Assistant / President’s Office.

Duties & Responsibilities

  • Provide administrative support to the Executive Assistant to the President and CEO.
  • Act as a representative of the President’s Office and United Way of Calgary & Area.
  • Oversee calendars, schedules, emails, and phone calls.
  • Gather and prepare information required for monthly Board of Directors / Governance Committee meetings.  Follow up work with Board and or Committee members as required.
  • Work with the UWCA Board Chair and Board members as directed or needed.
  • Prepare agendas, take and edit minutes, prepare reports, presentations and correspondence, material preparation, online filing, mail processing.
  • Contact Management: update contact lists, distribution lists, board and committee lists.
  • Communicate using good judgment and a polished approach.
  • Ensure discretion, confidentiality and privacy is upheld
  • Provide coverage for Reception as needed and fulfilling all duties of the receptionist.

 

Experience and Skills

  • Completed a 1 or 2 year certificate in Business Administration and a minimum of 2 years of related experience. Intermediate to advanced proficiency using Microsoft Office suite (Word, Excel, Outlook, SharePoint, PowerPoint).
  • Experience supporting a senior executive and board an asset.
  • Well-organized with a strong attention to detail.
  • Flexible, self-starter who works well with little supervision and strong ownership of the work.
  • Ability to prioritize and get things done.
  • Outstanding communication skills both verbal and written.
  • Aptitude to learn and leverage technology, new applications and tools specifically in the Microsoft Office Suite, Sharepoint and ANDAR.
  • Strong interpersonal skills, with sound judgment and a diplomatic approach.
  • Ability to thrive in a fast-paced, collaborative environment.
  • Excellent customer service skills.
  • Demonstrate exceptional interpersonal and communication skills.
  • A continuous improvement mindset enthused by a dynamic and changing work environment.
