Administration and Finance Assistant
Key Job Responsibilities:
- Ø Support the Executive Director in scheduling, managing files, and communications.
- Ø Provide general support in the day-to-day management of the office.
- Ø Assist in the financial accounting and bookkeeping of the organization.
- Ø Work with donor services to reconcile, and maintain communication between CAUSE Canada and its financial supporters.
Specific Tasks:
- Administrative Responsibilities
- Provide support in drafting and editing correspondence and other communications materials on behalf of the Executive Director.
- Manage files for the organization including financial records, board documents, and human resources files.
- General e-mail correspondence and distribution.
- Ordering office supplies and general office upkeep.
- Office and telephone reception (greeting visitors, answering telephones, conveying messages to office staff).
- Develop and maintaining schedules for the organization.
- Financial Responsibilities
- Enter donations, revenue, invoices, receipts into QuickBooks.
- Process cheques for bill payment and track accordingly.
- Make deposits.
- Reconcile bank accounts and credit cards monthly.
- Assist with the audit by documenting statements from Guatemala, Honduras, and Sierra Leone.
- Separate project bills and claims as and when required.
- Donor Service Support
- Enter and edit content for cause.ca and causegifts.ca.
- Coordinate with IT and other people involved to update and change relevant website information and assist in troubleshooting website and other IT related issues.
- Monitor website for donations made and ensure that they are received by donor services.
- Provide backup support to donor services in maintaining donor files when necessary.
OTHER ADMIN
Qualifications and skills required:
- Ø University degree.
- Ø Ability to work within a Christian framework and sensitivity to its various expressions across cultures and denominations.
- Ø Commitment to CAUSE Canada’s mission and mandate.
- Ø Computer skills – Excel, Word, etc. – and adaptabilities to learn and maintain different databases.
- Ø Accounting skills – ability to use QuickBooks is preferred.
- Ø Attention to detail, able to problem-solve, to work independently and as part of a team.
- Ø Good communications skills – both written and oral.
- Ø Strong interpersonal skills.
- Ø Fluence in Spanish is highly desirable.
