Accounts Payable & Accounting Specialist

Accounts Payable & Accounting Specialist

The Accounts Payable & Accounting Specialist (“Specialist”) is responsible for processing accounts payable, preparing journal entries and completing detailed reconciliations (including monthly bank reconciliations). In addition, the role will complete reporting for the Alberta Gaming and Liquor Commission (AGLC) and provide support for the Finance team in preparation for the annual budget, annual audit and for a variety of other finance projects as required and assigned. The Specialist will provide exceptional customer service, maintain positive working relations, and foster trust through confidentiality and diplomacy in service of all employees, volunteers, contractors, and stakeholders of the Foundation. 

Key responsibilities for this role include but are not limited to:

  • Carry out full cycle of Accounts Payable for both operating expenses and Child Health Grants.
    • Ensure appropriate approvals and verify expenses are coded to the correct cost centre and/or funding priority and in accordance with the approved budget.
    • Update Project Payment Model and Fundraising Priorities List with Child Health Grant payment information.
  • Verify and process employee expense claims; reconcile corporate credit card statements against expense claims.
  • Maintain electronic and physical vendor files; investigate and resolve issues with vendors.
  • Prepare bank account reconciliations for all ACHF bank accounts and other reconciliation work as assigned.
  • Analyze daily revenue journal entries / transactions from Donations Services and allocate to appropriate departments.
  • Prepare depreciation journal entries; maintain fixed assets sub-ledger by incorporating additions, disposals and write-offs.
  • Prepare journal entries and track monthly accruals and prepayments for Child Health funding and projects.
  • Assist with compiling annual budget and forecasting information including populating approved budgets in Financial Edge.
  • Assist in audit preparations including preparation of lead sheets, confirmations, schedules, reports, and supporting documentation; compile physical and electronic audit files.
  • Prepare AGLC licensing requests and financial reports.  Provide support to staff with regard to adherence to Alberta Gaming & Liquor Commission (AGLC) requirements for gaming activities and maintain all related files.
  • Provide guidance to Fund Development in the preparation of invoices to be sent to events sponsors and to other organizations for expenses the foundation incurred on their behalf.
  • Prepare other relevant journal entries as required.
  • Support the Finance team through project work, data entry, general administration, filing and annual archiving activities as required and assigned.


  • Minimum of 5 years of experience in finance or full-cycle accounting with a focus on accounts payable, preparing journal entries and detailed reconciliations.
  • Relevant post-secondary education with a concentration in Accounting or Finance; suitable combinations of education and experience will be considered.
  • Exceptional analytical and problem solving skills coupled with a focus on accuracy and attention to detail.
  • Demonstrated ability to work independently, making appropriate decisions, organizing and prioritizing workload, and ensuring completion of assigned tasks within defined deadlines in a dynamic environment.
  • Effective verbal and written communication skills.
  • Highest degree of integrity, honesty, and commitment to professionalism.
  • Demonstrated proficiency in the Microsoft Office suite of products including intermediate level proficiency in Excel.
  • Previous experience and demonstrated proficiency in an ERP or accounting database is required; Financial Edge/Raiser’s Edge proficiency is preferred.
  • Experience with the Non-Profit/Charity sector and/or fund accounting would be an asset.
  • Must be bondable. A security clearance is required for this position.
  • Team player with the ability to work collaboratively with internal and external customers.
