Functional Statement:

Responsible for the day to day operations of the Parent Link Family Resource Centre as well as supporting the staff at the Parent Link Centre.


  • To operate a multi-line telephone system and provide clerical and general information support services:
    • Welcomes and directs on-site visitors, retrieves messages from voice mail and forwards to appropriate personnel, answers incoming telephone calls, determines purpose of calls, and forward calls 
    • Will be a information resource to callers/visitors, and will make appointments for walk in clients and manages the flow of clients in the reception area
  • Will assume general office administration duties:
    • Monitors visitor access and issues passes when required, and keep track and report usage of different family passes, distribution of the tickets etc.
    • Maintains fax/printer /copy machines, assists users, sends faxes, and retrieves and routes incoming faxes make copies
    • Performs other clerical duties such as filing, photocopying, and collating in addition to maintaining clients and volunteer files/records and the database for Parent Link clients
    • Will update the monthly calendar, distribute the calendar and posters to clients and community partners
    • Responsible for the coordination of incoming and outgoing communications and related duties including reconciliation of postage usage
    • Provides assistance for a wide variety of administrative projects including, but not limited to; report writing, filing, typing, printing and photocopying, laminating, labels, certificate preparation and similar items
    • Daily coverage of main receptionist and reception coverage at the Parent Link Centre
    • Assist with administrative work for Program’s/Managers as needed
  • Will undertake administrative duties relative to the efficient and effective operation of the division as required:
    • Maintain materials, information/orientation packages for the target clients; collect, maintain and report


    • Degree and/or related experience in an Administrative support capacity
    • Fluency in English and a second language
    • Interest in and demonstrated ability to work with immigrants and mainstream agencies
    • Knowledge of child-development, parent education, and the social services system in Calgary
    • Ability to engage immigrant parents and kids in activities and events
    • Knowledge/experience with cross cultural communication
    • Good organizational skills
    • Ability to work well both independently and in a team environment
    • Strong written and oral communication skills
    • Competent with standard computer office applications
