Volunteer & Events Coordinator

We are seeking a Volunteer and Events Coordinator who will work collaboratively across the organization to ensure successful execution of events and to meet all agency volunteerism requirements. This role is responsible for all aspects of volunteerism and events, including but not limited to event planning and execution, volunteer recruitment, orientation, training and coordination. The Volunteer and Events Coordinator is a member of the Community Relations team and works collaboratively with employees, volunteers and other community stakeholders to contribute to the achievement of our vision, mission and strategic plan goals.

This is a full-time position (35 hours a week) working Monday to Friday.  A flexible schedule and ability to work evenings and weekends is required. Some inner-city travel may be necessary. This position will be located in the Calgary office and will report directly to the Director or Community Relations. A criminal record check, including a vulnerable sector search, will be requested.

Key Accountabilities

Volunteer Program Coordination

  • Create and maintain documentation including but not limited to volunteer role descriptions, volunteer processes and policies.
  • Recruit, interview, orient and train volunteers according to the volunteer policies.
  • Develop and implement volunteer recognition programs to ensure volunteers are rewarded and recognized.
  • Facilitate conflict resolution as needed.
  • Create and distribute volunteer communications
  • Work with employees to support their volunteer requirements.
  • Perform regular evaluation of the volunteer program to ensure it meets the strategic direction of the organization.
  • Supervise event volunteers.
  • Identify opportunities for greater volunteer involvement across the organization.
  • Keep current with research and new practices in the field of volunteer management.
  • Maintain volunteer records evaluate effectiveness and report on the volunteer program.
  • Compile qualitative and quantitative data, on an ongoing basis, to meet funding requirements.
  • Ensure all necessary documentation is accurate, accessible and follows internal standards.

Events Coordination

  • In collaboration with the Community Relations team and other members of the organization, facilitate the successful execution of fundraising and awareness events.
  • Develop critical paths, milestones and timelines for event execution.
  • Secure event locations, manage event timelines and details, and act as day of event contact.
  • Represent the organization on relevant internal and external committees. e.g. Splash of Red, AIDS Walk & Run.
  • Coordinate with numerous outside vendors such as venue management, rental companies, catering company and others.
  • Retain and cultivate existing partnerships for events.

Work with the Community Relations team to develop and work within event budgets as well as advertise events.

Qualifications/ Key Competencies

  • A degree or diploma in non-profit studies, volunteer management, business, events management, communications or a related field.
  • Minimum of 2 years relevant working experience in volunteer and/or events coordination
  • Experience in the non-profit sector or a healthcare setting preferred.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Ability to learn, retain and disseminate complex information.
  • Displays professionalism and confidentiality in interacting with internal and external stakeholders.
  • Demonstrated excellent organizational skills to prioritize and manage multiple projects, and complete tasks with a high degree of accuracy and timeliness with minimal supervision.
  • Public speaking and presentation experience to diverse audiences is an asset.
  • Advanced skills in Microsoft Office (Word, Outlook, Excel).
